Can I export/import contacts in/from MLS-Office?


Yes.  MLS Office allows you to import and export contact files.

Exporting contact files
To export contact files from MLS Office you must use a vCard or CSV file format.

Importing contact files
You can import contact files into MLS Office from other applications.

Applications which support this function are:  Outlook 2000-2007, Outlook Express 6, Top Producer 6i and 7i
and 8i.


NB: You can also import contacts from other applications if they also allow you to export using a CSV or vCard file format.  First, you will have to export your contacts from the other source before being able to import them
into MLS-Office.

What is a vCard?


A vCard file format is an industry standard for transferring electronic business cards or contact files.      
This format is compatible with other contact manager software like Outlook, Outlook Express and Palm Desktop.

What is a CSV file?


A CSV file is a file format that organizes information in a list.
Each line represents an entry, while each field is separated by a comma, hence the name CSV
or Comma-Separated Value.
Even if this file format is not a standard in itself, this is the most commonly used format to exchange
information between different applications.


In this example the parameters of the CSV file are :

Four (4) fields (Last Name, First Name, Email and Phone)
Three (3) entries (or contacts)
The field delimiter is a comma (,)
The value delimiter is the quotation mark (")

How do I export my contacts from MLS-Office?


1- Select the contacts you wish to export (by checking the box to the left of the contact name) and
then go to Action menu and click Export.

       


2- Now you need to choose the file format you want to use; vCard, vCard (Outlook), CSV or Customized CSV:

 
vCard

   Allows you to export all your contact files in a list, using only one single vCard    file.  This format is used mainly by Palm Desktop but can also be   supported
   by other applications.

vCard (Outlook)



   Allows you to export all your contacts files separately, using one vCard file for    each    contact. Then all the individual vCard files are compressed into one    unique zip file to    facilitate the download.

   You will have to decompress the zip file before being able to import the    vCards

   This format is used by Outlook and Outlook Express since this software     allows you to    import only one vCard at a time.

CSV
   Allows you to export your contacts in one CSV file. All fields will be   exported    (except  the fields supported only by MLS Office).
Customized CSV
   Allows you to export your contacts in one CSV file. All fields will be   exported   (except    the fields supported only by MLS Office).


3- Applicable only if you choose the Customized CSV format
     You will have to select the fields you want to export with the selection buttons. You can also specify the field
     order with the arrows.

   


You have the option to Add the column's title to the first line of the file. This is useful for identifying the fields
when you are importing with other software.





4- To finish, simply save the file on your computer. The file extension depends on the export type you chose. 
     You may modify the file name but you should not change the file extension

How do I export my Top Producer contacts and import them into
    my MLS-Office contact files?


Currently, only contacts exported from versions 6i and 7i of Top Producer can be imported into MLS-Office.

In order to do this you will need to use the exportation option included in your Top Producer software.

How to export contacts from Top Producer 8i

  1. Open the Search for Contacts screen
  2. Search for the contacts you want to export
  3. Select the contacts you want to export
  4. Click on Export Contacts
  5. Choose the desired export options
  6. Click on Export
  7. Click on Save and select the location to save the file

How to export contacts from Top Producer 7i

  1. From the main menu, choose Setup, then Data transfer/conversion
  2. Click Export data
  3. Choose Export All Contacts
  4. Click Next to continue
  5. From the Export Contacts to a File page, select Export All Columns
  6. Click Start Export
  7. Select the save location and a filename for you exported file
  8. Click OK when it's done

How do I import contacts into MLS-Office?


To import contact files from other supported applications you must go to the Utilities menu and
select Contacts Import.
 




Then simply follow the steps described in the Contacts Import window.



Step 1:  Choose the application from which you exported your contacts. If you want to import a CSV
file, you will also have to select and identify the fields to import.

Step 2:  Then select the file you wish to import by clicking on the Browse button.

Step 3:  Choose the date format applicable to your file.  To verify the date format of your file you
  can open it with Notepad or Excel.

Step 4:  MLS-Office can replace an already existing contact in your database. In order for this to work, both
               contacts need to have the same last name, first name, phone number and address
     If you import from a CSV file, the contact will only be replaced if the chosen fields are
    identical to the information in the contact file in MLS Office.

Step 5:  Start the import by clicking the Import button.
